Summary
The Process & CoE Digital Officer is responsible for developing, administering, and continuously improving the digital solutions that enable the Process & Project, Program & Portfolio Management (PPPM) Center of Excellence. The role ensures digital tools, data, and content effectively support governance, process management, reporting, collaboration, and knowledge sharing, while driving automation and continuous improvement to enhance user experience and operational efficiency.
Key Responsibilities
- Develop, administer, and continuously improve the CoE's digital ecosystem, including collaboration, governance, reporting, and knowledge management platforms.
- Configure, maintain, and enhance digital tools, workflows, forms, and automation to improve operational efficiency and user experience.
- Develop and maintain dashboards, reports, and analytics that provide insights into process, project, program, and portfolio performance.
- Ensure the integrity, quality, security, and governance of digital content, data, and documentation.
- Manage digital solutions supporting governance activities, including meeting management, decision workflows, document repositories, and action tracking.
- Support the implementation and adoption of AI-enabled capabilities to improve productivity, knowledge retrieval, reporting, and decision support.
- Partner with process owners, PMO, PMs and PgMs, IT, and business stakeholders to gather requirements and translate business needs into digital solutions.
- Coordinate testing, release management, and continuous improvement of digital platforms and enhancements.
- Provide user support, develop training materials, and promote adoption of CoE digital capabilities.
- Monitor solution performance, identify improvement opportunities, and recommend innovations aligned with CoE objectives and digital strategy.
- Maintain technical documentation, user guides, and governance standards for digital solutions.
- Support integration between digital platforms to ensure a seamless user experience and reliable data flow.
Context and Scope
- The Process & CoE Digital Officer works collaboratively with the Process & PPPM Center of Excellence team, process owners, PMO, PMs, PgMs, IT, and business stakeholders to understand business needs and translate them into effective digital solutions. The role combines technical expertise with a customer-focused mindset, using data, user feedback, and continuous improvement principles to enhance digital capabilities.
- Working within established governance and technology standards, the role manages digital solutions through their full lifecycle—from requirements gathering and design to implementation, testing, deployment, user support, and continuous enhancement. The role proactively identifies opportunities for automation, standardization, and AI-enabled innovation, ensuring digital platforms remain reliable, scalable, and aligned with evolving business priorities.
Job Specifications/Qualifications
- Bachelor’s degree in information systems, Business Administration, Computer Science, Engineering, Project Management, or a related discipline.
Preferred Qualifications
- Experience with Microsoft Power Platform (Power Apps, Power Automate, Power BI).
- Experience of AI-enabled productivity tools (e.g., Microsoft Copilot or similar generative AI solutions).
- Experience with SharePoint Online administration and Microsoft Teams.
- Knowledge of Agile, Lean, or continuous improvement methodologies.
- Relevant certifications such as:
- Microsoft Certified: Power Platform Fundamentals
- Microsoft Certified: Power BI Data Analyst Associate
- Microsoft 365 Fundamentals
- Project Management certification (e.g., PMP or PRINCE2 Foundation)
Knowledge / Experience
- 5 years' experience in digital solutions, business systems administration, process improvement, PMO, or a Center of Excellence environment.
- Experience administering and enhancing business applications (e.g., SharePoint, Microsoft 365, Power BI, Power Apps, AI Microsoft Copilot/ Neo Gemini or similar collaboration and workflow tools).
- Experience developing dashboards and reports using Power BI or equivalent business intelligence tools.
- Understanding of business process management, governance, and project, program, and portfolio management (PPPM) principles.
- Experience gathering business requirements and translating them into digital solutions.
- Knowledge of workflow automation and digital process optimization.
- Strong analytical and problem-solving skills with attention to detail.
- Excellent stakeholder management, communication, and user support skills.
